AI USE POLICY

At Tradie Contract Co ABN 70 116 609 726 (we, us or our), we use Artificial Intelligence (AI) tools in parts of our business to help us work more efficiently and provide a better service to our customers.

What we mean by AI

In this AI Use Policy (Policy), AI means software or tools that perform tasks usually done by humans such as:

·         Generating or editing text;

·         Analysing data or documents; and

·         Giving suggestions or recommendations.

Examples include content writing assistants, chat bots, translation tools and job management systems that use machine learning.

 How we use AI tools

We may use trusted AI powered tools in our day-to-day operations for things like:

·         drafting emails, SMS messages or letters to customers;

·         drafting or polishing quotes, job descriptions and scope of works (which we then review and finalise before sending);

·         preparing social media captions or website content;

·         helping with spelling, grammar and formatting;

·         managing our schedule, reminders and internal admin tasks; and

·         internal research and idea generation.

We do not use AI tools to replace professional judgement, licensed trade work or mandatory safety checks. All trade decisions, installations and any compliance checks are done by qualified humans.

If we use AI for any other significant purpose in the future, we will update this policy.

Who this policy applies to

This policy applies to all employees, contractors, and any other individuals or entities using AI systems provided or authorised by us.

Safeguarding your information

We aim to use AI tools in a way that respects your privacy and keeps your information safe.

We:

·         aim to avoid entering sensitive personal information into AI tools unless it’s genuinely necessary;

·         prefer tools that, as far as we can check, do not use data to train publicly available models;

·         de-identify information where we reasonably can by removing names and addresses and other identifying features; and

·         follow our privacy policy when handling personal information.

 We also comply with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

 Human oversight and responsibility

AI tools can be helpful, but they can also be wrong. For this reason:

·         AI outputs are always reviewed by a human before we rely on them;

·         we don’t blindly copy and paste AI content for technical instructions, safety directions or installation methods; and

·         we remain fully responsible for all trade work and final content and material provided to you, whether or not AI tools were used behind the scenes.

 If AI is ever used to help make a decision that could significantly impact you, a human will review that decision.

 Accuracy and reliability

AI tools can sometimes produce errors or inaccuracies.

Because of this, we treat AI outputs as a starting point only. Our trained team members check, correct and adapt AI assisted content before using it in our business.

 Transparency

We aim to be transparent about our use of AI where appropriate and where required by law. For example, we may inform individuals when they are interacting with an AI system (such as a chat bot).  Fairness

We are committed to using AI in a fair and without discrimination. We take reasonable steps to identify and reduce potential biases in AI systems and data.

Prohibited uses

We will not use AI for:

·         unlawful activity;

·         discrimination based on protected attributes (for example, race, gender, religion);

·         generating or spreading false or misleading information with the intent to deceive;

·         infringing intellectual property rights;

·         creating deepfakes or manipulating media in harmful ways;

·         creating or using biometric surveillance systems (like facial recognition) without lawful authority or consent; or

·         automated decision-making with significant legal or personal effects, without appropriate human oversight, where prohibited by law.

 Monitoring and review

We will monitor how AI systems are used to ensure compliance with this policy. This policy will be reviewed and updated regularly to reflect changes in technology or legal requirements.
